The Reset at Cedar – Retreat Booking Terms & Conditions

These Terms & Conditions apply to all retreat bookings made with The Reset at Cedar (“The Reset”, “we”, “us” or “our”).

By making a booking, you confirm that you have read, understood and accepted these Terms & Conditions.

1. Your booking

Your place on a retreat is confirmed once we have received the required deposit or agreed first payment and you have received booking confirmation from us.

Please check your booking confirmation carefully and let us know as soon as possible if any information is incorrect.

If you are booking on behalf of another person, you are responsible for ensuring that they are aware of and agree to these Terms & Conditions and receive all relevant information about the retreat.

Unless otherwise stated for a particular retreat, guests must be aged 18 or over.

2. Payment

A 50% deposit is required at the time of booking to secure your place.

The remaining 50% balance must be paid no later than 14 days before the retreat begins.

If you book within 14 days of the retreat start date, the full retreat price will be payable at the time of booking.

We understand that spreading the cost can sometimes make things easier, so payment plans are available on request. Please contact us before booking and we will be happy to discuss the options available.

If an agreed payment is not received when due, we will contact you and give you a reasonable opportunity to make the outstanding payment. If payment remains outstanding, we reserve the right to cancel your booking.

3. If you need to cancel

We understand that sometimes plans change.

If you need to cancel your place, please let us know in writing as soon as possible.

If you cancel more than 12 weeks before the retreat start date, payments you have made will be refunded, less any non-refundable booking or payment-processing charges that were clearly disclosed to you when you booked.

If you cancel within 12 weeks of the retreat start date, payments made are non-refundable.

Where possible, we will try to help. If we are able to resell your place, we may, at our discretion, offer you a transfer, credit or refund, less any reasonable costs already incurred.

You may also ask to transfer your booking to another person. Any transfer must be agreed with us in advance and the replacement guest must meet any requirements applicable to the retreat.

We strongly recommend taking out suitable travel and cancellation insurance as soon as you make your booking.

4. Minimum retreat numbers

Our retreats are intentionally small, but we require a minimum of 10 guests for each retreat to go ahead.

If a retreat has not reached the minimum number required, we reserve the right to cancel it.

If we cancel a retreat because minimum numbers have not been reached, we will give you as much notice as reasonably possible and offer you either:

  • a transfer to another available Reset retreat; or
  • a full refund of all payments you have made to us for the cancelled retreat.

We recommend that you avoid making non-refundable travel arrangements and take out suitable travel insurance, as we cannot reimburse separate travel, accommodation or other costs you have arranged independently, except where required by law.

5. If we need to cancel or change a retreat

Very occasionally, circumstances may mean we need to cancel a retreat or make changes to the programme.

This could include severe weather or unsafe site conditions, illness or unavailability of an essential retreat leader or practitioner, insufficient guest numbers or other circumstances that mean the retreat cannot reasonably or safely proceed as planned.

If we cancel the entire retreat, you will be offered either:

  • a transfer to another available Reset retreat; or
  • a full refund of all payments you have made to us for that retreat.

Where an individual activity, session or practitioner becomes unavailable, we will make reasonable efforts to provide a suitable alternative rather than cancel the entire retreat.

We are not responsible for separate expenses you have incurred, such as travel, hotels or other arrangements, except where the law requires otherwise.

6. Your accommodation

Accommodation at The Reset at Cedar is provided in canvas bell tents in the Essex countryside.

Different accommodation options are available depending on the retreat, including private and shared stays and different tent sizes or specifications. Prices may vary according to the accommodation selected.

Please make sure you choose the accommodation option you feel most comfortable with when booking.

Our bell tents provide proper beds and comfortable bedding, but they remain a form of outdoor accommodation.

Guests should expect the normal sights, sounds and conditions associated with staying in the countryside, including insects, wildlife, birdsong, changing temperatures, wind, rain, mud, uneven ground and other natural conditions.

Facilities may include shared toilets, showers and communal spaces.

7. The retreat programme

Each Reset has its own programme and may include activities such as yoga, fitness sessions, Reiki, wellbeing sessions, workshops, talks, counselling or coaching sessions, walks, creative activities, group discussions and other experiences.

The programme shown on our website is intended as a guide.

We may occasionally need to change timings, activities, practitioners or elements of the programme due to weather, availability, safety considerations or circumstances outside our reasonable control.

Where this happens, we will make reasonable efforts to provide a suitable alternative.

8. Participation is always your choice

This is your Reset.

Although we encourage you to enjoy everything your retreat has to offer, you are not required to participate in every activity.

You are welcome to take time for yourself, rest in your tent, read, walk through the meadow, have a cup of tea or simply enjoy the surroundings.

There is no pressure to keep up with anybody else.

For physical activities such as yoga, fitness, stretching or walking, please work within your own abilities and follow the guidance provided by the instructor.

9. Health and medical information

You are responsible for deciding whether the retreat and its activities are suitable for you.

Before participating in physical activities, you should tell the relevant instructor about any injury, pregnancy, medical condition, disability or other circumstance that may affect your ability to participate safely.

If you are unsure whether you should participate in an activity or attend a retreat, you should seek appropriate medical advice before attending.

Our retreats and wellbeing activities are not a substitute for medical treatment, diagnosis, psychological therapy or emergency mental health support.

Where a retreat includes counselling, coaching, Reiki or another specialist service, further information about the nature and scope of that service may be provided by the individual practitioner.

10. The Gentle Reset

The Gentle Reset is designed to provide a supportive environment for people experiencing grief, bereavement and loss.

Grief is an individual experience and we cannot promise or guarantee any particular emotional or therapeutic outcome from attending the retreat.

Guests are free to choose how much they wish to participate in conversations, group sessions and activities.

You can talk. You can listen. Or you can simply be there.

The Gentle Reset is not intended to provide crisis intervention or emergency mental health treatment.

If you are currently experiencing a mental health crisis or require urgent specialist support, a retreat environment may not be appropriate and you should seek appropriate professional or emergency support.

11. Food and dietary requirements

Food is a big part of The Reset, and we want everyone around the table to feel included, comfortable and completely looked after.

We welcome guests with food allergies, intolerances and dietary requirements and will do everything we reasonably can to accommodate your needs.

Please tell us about any allergies, intolerances or dietary requirements when you book so that we have plenty of time to plan.

We will never make you feel awkward or as though you're creating extra work. Wherever possible, we'll design and adapt the menu for the whole retreat around our guests' requirements, rather than serving you a noticeably different meal. We want everyone to sit down together, share the same experience and enjoy really good food without anyone feeling left out.

If you have a severe allergy or particularly complex dietary requirements, please contact us before booking so we can talk through your needs and make sure we can accommodate them safely.

While we will take reasonable precautions when preparing and serving food, our kitchen may handle a range of ingredients and allergens. We therefore cannot guarantee a completely allergen-free environment or the total absence of cross-contamination.

Our aim is simple: everyone should feel equally welcome at the table.

12. Alcohol, smoking, vaping and fire safety

Any arrangements or restrictions concerning alcohol will be communicated for the individual retreat.

Smoking and vaping are not permitted inside bell tents or communal structures.

Because The Reset takes place in a countryside environment with canvas structures and potentially dry vegetation, smoking or vaping must only take place in any specifically designated areas.

Candles, camping stoves, cooking equipment, heaters and other naked flames must not be used inside guest tents unless equipment has been specifically provided and approved by The Reset for that purpose.

Guests must follow all fire and safety instructions provided during their stay.

13. Weather

The Reset at Cedar is an outdoor countryside experience and the British weather is part of that experience.

Rain, wind, heat or cooler temperatures will not normally result in cancellation of a retreat.

Activities may be moved, adapted or rescheduled according to weather conditions.

If conditions become unsafe, we may change or cancel particular activities or make alternative arrangements.

We recommend checking the weather forecast before travelling and bringing suitable clothing and footwear for the conditions.

14. Arrival and departure

Your arrival and departure times will be provided with your retreat information.

Please do not arrive substantially earlier than your stated check-in time unless this has been agreed with us beforehand.

Guests are responsible for arranging their own transport to and from The Reset at Cedar unless transport is expressly stated as being included within their booking.

15. Behaviour and consideration for others

The Reset is intended to be a calm, welcoming and respectful environment.

We ask all guests to be considerate towards other guests, our team, practitioners, neighbours and the countryside around us.

We reserve the right to ask a guest to leave if their behaviour is threatening, abusive, seriously disruptive, unsafe or significantly affects the safety, wellbeing or experience of other guests or members of our team.

Where a guest is required to leave because of their own serious misconduct, a refund will not normally be provided.

16. Privacy and confidentiality between guests

Some retreats may involve personal conversations and guests may choose to share experiences or information about themselves.

We ask everyone attending The Reset to respect the privacy of other guests.

Please do not share another guest's personal story, circumstances, photographs or private conversations outside the retreat without their permission.

We cannot guarantee the actions of individual guests, but respectful confidentiality is an important part of the environment we expect everyone attending The Reset to maintain.

17. Photography and filming

We may occasionally take photographs or video during retreats for use by The Reset at Cedar.

We will not use an identifiable photograph or video of you for our promotional purposes without your permission.

You are welcome to take your own photographs, but please respect the privacy of other guests and ask their permission before photographing or filming them.

Photography and filming may be restricted during certain counselling, wellbeing or group sessions to protect everyone's privacy.

18. Personal belongings

Please look after your personal possessions during your stay.

We recommend that valuable items are not left unattended in tents or communal areas.

Nothing in these Terms excludes or limits our responsibility where doing so would be unlawful.

19. Damage

Please treat the tents, furniture, equipment, facilities and natural surroundings with care.

Guests may be responsible for the reasonable cost of repairing or replacing property that is deliberately damaged or damaged through negligence beyond normal wear and tear.

Accidents happen, so please tell us promptly if anything is accidentally damaged during your stay.

20. Independent practitioners and retreat leaders

Some activities at The Reset are provided by independent instructors, counsellors, therapists, coaches, Reiki practitioners, fitness professionals, yoga teachers or other specialists.

Individual sessions may be subject to additional professional terms, consent requirements or health questionnaires where appropriate.

Each practitioner is responsible for providing their own professional service with reasonable care and skill where applicable.

21. Changes requested by you

If you wish to change your retreat date, accommodation option or guest details, please contact us as soon as possible.

We will always try to help where we reasonably can, but changes are subject to availability and may result in a change to the price.

A requested change is not confirmed until we have agreed it with you in writing.

22. Accessibility and individual requirements

We want The Reset at Cedar to be as welcoming and accessible as we can make it.

As a new retreat set within a natural countryside environment, we know there will be things we can improve, and accessibility is something we are committed to developing as The Reset grows.

The site is predominantly grassed and, depending on the weather, the ground can sometimes be uneven, wet or soft. Some of our facilities may therefore be more accessible than others, particularly during our first seasons.

If you have a mobility requirement, disability, sensory need or anything else that could make your stay more comfortable, please contact us before booking. We'd much rather have a conversation with you about what you need and what we can currently provide.

Where reasonably possible, we'll make adjustments to help you enjoy your stay.

Our longer-term aim is to continue investing in the site and improving accessibility year by year, so that as many people as possible can experience The Reset.

I think that's much more you. It doesn't pretend the field is fully accessible when it isn't yet, but it makes it very clear that you're actively trying to make it inclusive rather than simply excluding anyone who might need additional support.

23. Our responsibility to you

We will provide the accommodation and retreat services included in your booking with reasonable care and skill.

Nothing in these Terms & Conditions excludes or restricts any liability that cannot legally be excluded or restricted, and nothing in these Terms affects your statutory consumer rights.

We are not responsible for losses that could not reasonably have been anticipated when your booking was made, or losses resulting from circumstances outside our reasonable control, except where the law provides otherwise.

24. Personal information

We will use the personal information you provide to administer your booking, communicate with you and provide your retreat.

We may ask for health, dietary, emergency contact or accessibility information where reasonably necessary to help us provide your stay and activities safely and appropriately.

25. Complaints

If something isn't right during your stay, please tell a member of The Reset team as soon as possible.

We would much rather have the opportunity to resolve an issue while you are with us.

If the matter cannot be resolved during your stay, please contact us in writing after the retreat and we will investigate the matter.

26. Governing law

These Terms & Conditions are governed by the laws of England and Wales.

Nothing in these Terms affects any rights you may have as a consumer regarding where legal proceedings may be brought.

Booking acknowledgement

By completing your booking, you confirm that you have read and agree to The Reset at Cedar Retreat Booking Terms & Conditions and have provided accurate information relevant to your booking.

Payment terms: 50% is payable when booking, with the remaining 50% due 14 days before your retreat. Payment plans are available on request.

Cancellation: Cancellations made within 12 weeks of the retreat start date are non-refundable. We strongly recommend taking out appropriate travel and cancellation insurance when you book.
